Data storage management is really just a five dollar term to describe the process and system you have devised to manage, store, backup and retrieve all of your information and data compiled in your organization. In this article I will show you how to make your data storage management as efficient and effective as possible. This will save you both time and money.

First, make a list of all your tasks that revolve around how you handle information and how you store records. Then, go through each process and see if there is a way that you can store the data more efficiently. What you are looking for is manual processes which you can automate.

For example, if you have somebody who has to take an hour a week out of their schedule to manually create a backup data storage of all your computer records, then you should consider looking for software that can automatically do this for you and store the information on a secure server as a backup.

Second, not only are you looking to speed up the process, you are also looking to take the stress out of your data storage. Talk to those who deal with and handle the data processing and determine what the sticking points are and which are the biggest sources of stress and conflict. Find ways to make these processes easier for your resource department.

Third, find those areas where the most errors occur as they relate to the handling and storing of data. These are your trouble points that are affecting your organization and need to be fixed. Come up with solutions to cut back on these errors and problem areas so your data storage management is more sound and efficient.

As you go through this process you will probably get ideas for a variety of different services to research that can help you with your problems as they relate to automating your data storage, making the process easier and correcting errors that your organization is most prone to committing.

Once you get an idea of what you want to fix then it is a matter of finding the solutions both in products and services that are likely to help you out. It is important that you perform your due diligence related to these products and services, just as you have done with your whole data storage management process.

If you take the time to focus on this crucial aspect of your business you’ll enjoy increased levels of productivity and decrease your level of stress.

This my third article in the series “A Day in the Life of…..” for various Property management positions.
As in my previous articles, I try to show the human aspect of what the job may be like from the perspective of having served in the position.

A self-storage management position can be much like the other property management type jobs in that much will often depend on the type of owner (or management company) involved…..particularly, the size of the owner/company and the size & scope of the facility. By scope, I am referring to whether or not the facility operates a complimentary store covering moving/packing supplies and/or truck rentals, etc…… whether or not it is multi-story (with elevators, etc.)….. whether or not it is “climate-controlled”…….what type of security/gate controlled access is involved…..and more.

A plain facility that just handles primarily household goods storage for individual customers is certainly the easiest to run and frequently gives the managers a great deal of flexibility in working conditions (these are the more numerous & common ones). It is often managed by a couple who rotate time on….with the wife generally doing the office work, and the husband covering some of the light maintenance (admittedly this is NOT always the way it is split up….and can certainly vary with individual preferences). Nevertheless, this type of arrangement (especially when it is with resident managers where an apartment is provided) can be quite convenient for individual spare time pursuits…..even while “on the clock”. Since most self storage rental facilities setup their rental programs where rents are due on the 1st of each month; the “busy” periods will be at the start of…and end of each month. So you can see that this leaves much of the times “in between” with a much lighter workload.

Now, for a larger facility (say, more than 700 units or so) and with storage supplies to market, as well as truck rentals, etc……the scenario will be quite different. For this type of facility, additional employees may even be required…. sales associates, relief workers, even shared or dedicated maintenance people.

With the obvious understanding that the pay scales will vary in accordance with these types of facilities, it goes without saying that one must look at what level of employment you are seeking before going “head-on” into the self-storage industry.
